Revised timeline



Hi everyone.  It's countdown time!
Here's a revised timeline for the details of Jan 12/13/14.  Please go over 
it with a fine-toothed comb, and make special note of places you see your 
name or a question mark.  If I have any times wrong, or if I have your name 
down beside something you can't do, or if you see a question mark you have 
an answer for, let me know.  Thanks very much.

Tree chipping timeline 2001-2002

Pre-December planning

Kathie to phone Cambrian Mall and confirm site details, location, legal 
agreement, insurance
Kathie to confirm participation of Dial Source Plus, Sault Disposal, other 
partners for recyclable/reuseable materials
Organizers to coordinate with Scouts about participation on Chipping Day; 
need to agree on detailed list of who brings what and who pays for 
consumables; details from what happened last year and report 
recommendations is the place to start.
Contingency planning for most important details - chipper, tent, Scouts.

December

Kathie to fill Site Supervisors binder with notes and information needed on 
site.  Others to review and suggest improvements
Derek to phone all equipment partners to confirm dates, times, 
participation.
 	Chipper, trucks, loader, barricades, tent, trailer, PUC
 	Arrange for warm-up tent for Jan 13 with Mark Crofts
 	Confirm with Cambrian Mall (Brad Vessey, Octave Landry) availability of 
tables to be picked up Jan 12 and returned Jan 13
 	Get drop power cable to PUC so they can connect it on Dec 27
 	Confirm with Towland-Hewitson use of their yard for storage of chips and 
access on January 13
Don to arrange with Quattra SCS (Harold Cotgreave) free loan and use of 
cell phone to be picked up Dec 24 (or perhaps Dec 21) and returned Jan 14.
Doris to put sandwich board signs at tree sellers, keep a list of where 
they are, contact name and phone number. Tree sellers should also include 
the cut-your-own-tree operations like Mockingbird Hill Farm and Crystal 
Valley Tree Farm
Kathie to continue publicity plan
Debbie to phone volunteers to fill site schedule
Marc to paint entrance, exit signs, signs for additional items
Michelle to place sign at Rome's
Someone (Peter? To tie tree tags at Rome's)
Derek to obtain trailer from Christies and store it until Dec 26

December 24
Barricades dropped off by Palmer Paving
Tree lots signs picked up
Murray and Kathie to meet at site 6 pm to arrange barricades and place one 
sign. Place signs at non-tree collection locations.
Pick up cell phone from Quattra SCS (if not already done on Dec 21)

December 26
Derek, Murray, Kathie to meet at site to place trailer
Will need extension cord to connect power to trailer from PUC cable drop at 
pole - bring from office
Need to brace trailer and level it, using wood and cinder blocks - bring 
from ?

December 27
7 am Kathie to meet Sault Disposal at site to place dumpsters
PUC to install electricity
Midday - First shipment of equipment from the office moved to trailer - 
signs, heater, phone, shovels, rakes, donation box, brochures, binder, 
first aid kit, gloves, etc. (Tom or Kathie with help from mural youth)
Cube van for bicycles on site (Al to arrange this) rollaway carts for small 
reuseables placed on site (Kathie to arrange)
 7:30 p.m. Site supervisors orientation - site managers schedule filled

December 28 - January 1
minimal site attendance - supers and site managers only

January 2 - 11
Operation Springboard on site weekday mornings
Mural project staff on site weekday afternoons
evenings and weekends by Clean North volunteers
A daily site manager to check in with each shift, help open and help close 
site.
Corrugate bin and bikes truck emptied as needed. (Bikes truck by bike 
workshop volunteers)

January 11
Re-confirm all details and arrangements pertaining to Jan 12/13

January 12
tents placed on site (Dan Lajambe and crew, Murray)
additional shipment from office brought - food service, volunteer 
identification, etc.
Full day of volunteer shifts
Baking and coffee available
Peter to pick up tables from mall at 6 pm, store in tent
Crew to help Mark Crofts set up warming tent

January 13
Tree Chip day organizers on site 8 am
Volunteer sign-in person on site 8:30 am in trailer (buttons, ribbons, 
toques?)
food service on site (Venturers) to set up starting 8 am
Full shifts, 20+ volunteers,  9 am - noon, noon - 3 pm, cleanup crew 2:30 - 
4 pm
Loader, chipper on site 9 am, begin chipping as soon as ready
First dump truck arrives 10 am
Scouts close kitchen at 2:30 pm, last hot water for cleaning tables
2:30 cleanup volunteers
	clean tables, fold, return to mall (trailer? - either Don or Peter)
	assist with folding up warming tent
	stack barricades, load signs and equipment into vehicles
Chipper pulled away at 3 pm
Last truck leaves 3:15, loader leaves as soon as site clear
Dan Lajambe to remove kitchen tent starting at 3 pm
Trailer electricity unplugged, personal belongings and Clean North supplies 
removed to vehicles and to CN office

January 14
Who takes trailer back to Christie's?  Or do they pick it up?
Kathie to call John Martella to remove dumpsters
Kathie and Al to compile volunteers list, prepare advertisement
Kathie to write thank you letter and mail it
Don to return cell phone to Quattra SCS
Someone (not Kathie) to call city to pick up any trees left in lot overnight
Supplies in CN office sorted, cleaned, put away, all dishes re-washed
