Re: Details for Sunday Jan 7

I called Ken James several times today, but he didn't return any of my calls.
 
This happened at the start, as well. He didn't contact me until actually went to his office and asked for him. Although I wasn't able to get him at that time he called me back quickly thereafter. I will try this tactic again, if need be.
 
I did speak with Terry Rainone at Palmer Paving first thing this morning. I asked for some more temporary barricades and some additional ones for next weekend. He said he would drop them off as soon as possible.
 
Now I understand people's frustration about the barricades, or lack thereof, but I am not sure if there is much else I can do about it. I believe that if I asked him for anymore I might run the risk of ruining the relationship, i.e. the donation.
 
If in the next day there are no new barricades please let me know and I will call the city for some.
 
As far as the plan. I believe that a 9:30am start for the chippers is adequate. Ken and I spoke of this in the beginning. He likes the later start because his crew is up very early to double-check the machines and go over safety equipment and then out for breakfast. That's why they all look a little tired when they show up.
 
I say we take 9:30am as a chipping start time and work with that.
 
Should we then say that the loader and first truck arrive at 10:15am enough time for a big pile(s) to develop and then have the 2nd truck come at 10:45 or 11:00am. Let me know and I will confirm with Lajoie and Rainone. Either Don or I will confirm with Joe Nellis at Towland-Hewitson.
 
Anything else pass it along.

My comments in bold:

1. Yes this is what I had in mind.

2. Should extend this plan back to at least Friday and Saturday as well (anything that is above or beyond depot activity).

Friday - pick up (6?) tables from Mall?

Saturday - 8:00 a.m.? Tarp Farm Tent?

3. All details that involve partners should be re-confirmed this week before Friday so that we have no surprises at the last minute (i.e. communication mixup or someone forgets about the details of the commitment they made to us before Christmas)

Is there a detailed plan like the one Don has asked for from previous years?
I don't remember ever seeing one, so if there isn't, lets do one together.
Its a good idea.

I'll take a crack at a first draft:

8 am - First CN people on site - trailer warmed up, volunteer sign in
prepared, coffee made in trailer.  Prospector tent set up begins.  Need:
Kathie, Derek, Don or Doris, Mark C. and tent crew.

4. Who is coordinating 'tent crew' and how big is it?  Who will supervise?  Will they have all the tools and equipment they will need? Perhaps prospector tents should be setup on Saturday.  Have we confirmed two prospector tents, one for food prep and one for volunteer warmup?

8:30 am - Food service people on site, begin setting up coffee there.
Prospector tent set up and heater on.  Volunteers set up parts of displays
that were taken down Saturday evening.  Need:  Dee, Chris P. (if NG
display), 3 more CN vols.

9 am - Chipper arrives, GLP people set up.  First tree-hauling volunteers on
site.

5. Check with Derek about when GLP plans on arriving and when they plan to start chipping as this will dictate when volunteers should arrive; we don't want a repeat of two years ago when volunteers were told to arrive two hours before chipping actually began and their enthusiasum and energy was wasted.


All Reuse organizations arrive on site, set up their display and collection
tables.

9:15 - First tree into chipper (see comment 5. above).  (min)25 volunteers signed in and working on tree pile, greeting public, flattening corrugate, etc.

6. Need details on loader and trucks


11 am - Ten fresh volunteers arrive.

12 noon - tree pile is finished.  Lunch break for equipment operators and
first 25 volunteers.

2:30 pm - clean up crew volunteers begin to arrive on site and are checked
in.

3 pm - chipper removed from site.  Ten fresh volunteers begin site clean up,
take down prospector tent, take down display tent, while the rest of us
stand around and eat and drink up the leftovers.  :)

4 pm - Don, Derek, Kathie, Dee remove CN gear to CN office.  CN is off site
for 2001.

Monday, Sault Disposal removes bins, Canadian Waste removes bins, city
garbage collection picks up overnight trees, PUC removes power cable.
Kathie picks up power cable.
