meeting notes



We met in the Clean North office at lunchtime today for a quick 
update/decisions time.  Pizza was brought.

Present:  Doris Welz, Peter McLarty, Kathie Brosemer, Andrea Haft, Terry 
Brownright, Michelle Loubert, Chris Kertesz


1.  Peter reviewed the site, parking and traffic flow considerations, 
signage, washrooms, food for volunteers.  No decisions yet about food. 
Discussed a barbecue, most felt that was too much effort.  Maybe make 
coffee available.  Kathie to get "another Clean North event" banner made. 
Both sandwich boards will be needed, and a hand-lettered banner announcing 
simply "BOOKS".

2.  Transportation.  All agreed we'd like more comfort knowing what Avery 
is prepared to do, i.e. if we end up being swamped and needing four trucks, 
will they do that?  Andrea gave a synopsis of a conversation with Jeff 
Avery, a neighbour, who says they're "deadheading" to Toronto or Montreal 
several times a week, and would like to have the ballast.  Doris to phone 
Steve B. to verify the extent of Avery's graciousness.  After she confirms 
this, we will decide if we need to develop a "Plan B".

3.  Communication.  Reviewed bookmark and news release.  Decided to call 
the event "Book 'Em, Dan-O!" for the fun of it among a certain age group 
(and the Hawaii theme).  We'll probably refer to it as Book Em internally. 
Doesn't make a great acronym.  Kathie to send out news release, follow up 
with media contacts, finish bookmark.  Peter has secured $100 contribution 
from Soo Disposal to help defray promotion costs.  Doris will take 
bookmarks around to library etc. when ready, ask Tom about posting on local 
websites.  Chris to do poster and put it up.  All to put up posters when 
ready.

4.  Dates.  Discussion of whether we need all day Friday, agreed that a 
summer weekend some people will want a drop off on their way to work, 
lunch, home, rather than Saturday when they want to go to camp.  So we'll 
be there 9 - 9 Friday, 9 - 5 Saturday.  Chris to revise poster to reflect 
this.

5.  Volunteers.  Kathie to do volunteer schedule for July 5&6.  Peter to 
phone the office with advance notice if volunteers are needed for other 
times re: institutional drops.  Michelle, Andrea, and Terry are willing to 
help with book sorting and book sale.  Kathie to ask Debbie to do the 
phoning to fill the schedule.  Needed:  people to help unload vehicles, 
fill pallets, load truck, sort books, sell books, put up and take down 
signage, sweep up.
